AI Onboarding Assistant

Guides new hires through their first weeks — tasks, policies, systems access and the questions they are reluctant to ask a manager twice.

What it does

Onboarding fails quietly. A new hire does not know which system to request, whether a form was processed, or who to ask about expenses — and asking the same question a third time feels worse than guessing.

The assistant gives them one place to ask, tracks their task list, answers from your actual policies, and tells HR where people are getting stuck. That last part is often the most useful: the same three questions from every new hire means your onboarding documentation has three gaps.

Key features

Personalized task checklist

Tasks by role, location and start date, with status the new hire can see.

Policy question answering

Grounded in your current policy documents, with the source cited.

Access and request guidance

What to request, where, and what to do when it has not arrived.

Nudges and reminders

Reminders for incomplete tasks, to the new hire and to their manager.

Manager and HR view

Progress across cohorts, plus where people are stalling.

Content gap reporting

Frequently asked but poorly answered questions, as a queue for the HR content owner.

Example use cases

Illustrative scenarios this product is designed for, not descriptions of specific client deployments.

  • A company hiring in cohorts that wants a consistent first-week experience
  • Remote onboarding where a new hire has no desk neighbour to ask
  • HR teams whose onboarding inbox is mostly the same questions
  • Internal transfers who need role-specific rather than new-hire guidance

How it is deployed and integrated

Deployed as an internal web assistant behind single sign-on, or inside a platform your employees already use — including ServiceNow HR Service Delivery.

Three to six weeks, depending on how current your policy content is. Out-of-date content is the main risk here, because a confidently wrong policy answer is worse than no answer.

Runs in your own tenancy where employee data policy requires it.

Integration categories

Categories we can build against. Feasibility for your specific systems and versions is confirmed during scoping — these are not certified partner integrations.

Data and privacy

Employee data is sensitive and the assistant should see only what it needs. Access scoping, retention and logging are documented before launch.

Conversations may reveal personal circumstances. We define who can read conversation logs — and in most designs, that should not be the new hire’s manager.

Before launch, you get it in writing. What data the product can access, where it is processed, how long it is retained, who can read it, and what is logged. If any of that does not work for your policy, it is a design decision we change rather than a limitation you accept.

Questions

About AI Onboarding Assistant

How is this different from our HR portal?

A portal requires the new hire to know what to look for. The assistant answers the question as asked, tracks their individual task list, and reports where your content is missing.

What if our policies are out of date?

Then the assistant will repeat them accurately, which is a problem. We review content coverage during setup and will tell you if the content needs work before launch is sensible.

What does it cost?
